General information about AGM

Annual General Meeting, also known as the AGM, is the main decision-making body of ESN International. All the official sections of our network are invited to the AGM to decide about how the network should be run the following year.

The AGM takes usually place at the end of February-beginning of March and lasts for four days. The program begins on Thursday evening and the official Meeting is scheduled for Friday, Saturday and Sunday.

Place

All the sections of ESN International are allowed to apply for organising the AGM. The applicants will present themselves in the AGM the year before and are then voted by the sections. The section with most votes is the organiser of the next AGM. The applicants should keep in mind that all they should stick to what they promised when applying, if you say that the participation fee for the AGM will be 125 euros, that's what it should be in reality too.

Organising Committee OC

The members of the chosen section nominate among themselves an organising committee, the OC. The OC is the main responsible for the practical organisations of the following AGM, such as searching for sponsors and applying for grants for organising the AGM, booking the hotels, meeting places and rooms for workshops and organising the free time activities and food for the participants. The OC takes the full financial responsibility for the AGM.

Plenary Sessions

The International Board is responsible for the contents of the plenary session. The Board sends the official meeting documents to the sections one month before the AGM, so that all the sections will have enough time to get read through all the things that will be discussed at the AGM. The sections are as well allowed to propose changes to the statutes and standing orders. These proposals have to be sent to the Board at least two months before the AGM.

Board

The new International Board meets for the first time at the AGM. That's when they elect the new Executive Board and the old Board forwards its tasks to the new Board.

Workshops

As the AGM is a perfect opportunity to exchange information between all the sections, a lot of time is dedicated to different workshops from Local Level, National Level and International Level. The International Board is responsible for finding the subjects and chairs for the workshops.
